How Large Should a Batch Code Be? A Practical Viewing-Distance Guide for Malaysian Factories
When a batch code is clear at the packing table but difficult to read at a warehouse rack or loading bay, the problem is not always the printer. Often, the code was approved for the wrong viewing distance.
There is no single “correct” batch-code size for every product in Malaysia. The practical question is: who needs to read or scan the code, where are they standing, and what must they do next? This guide gives production, QA and warehouse teams a simple way to make that decision before a new artwork or coding layout goes live.
Start with the person who uses the code
A batch code can be used by different people at different points in the workflow. An operator may check it close to the print station. A QA team member may inspect it during release. A warehouse team may identify an outer carton while handling stock. A customer may read it only after receiving the product.
These are different jobs. Write down the main user and action before deciding the character height or code location:
- Packing operator: confirm that the correct job or date was printed.
- QA checker: inspect the mark against the approved artwork or production record.
- Warehouse team: distinguish cartons, lots or destinations during picking, staging and loading.
- Receiver or customer: identify a batch when a product is already in use or under review.
One small code may be suitable for a close-up pack check but unsuitable as the only identifier on an outer carton. That does not automatically mean every code must be large; it means the design should match the real task.
Viewing distance changes the decision
Use the normal working distance, not an ideal close-up inspection, when assessing legibility. Ask the warehouse supervisor where the carton is normally read: in the hand, on a pallet, at a staging area or on a rack. Then look at a real sample from that position under normal site lighting.
A generic millimetre chart cannot replace this exercise. Pack format, code content, contrast, lighting, line breaks and the reader’s task all affect whether a mark is useful. The safest approach is to compare two or three candidate layouts on the actual material and approve the one that works in the real workflow.

This is a planning table, not a universal size standard. Confirm the final character height using printed samples on the actual pack, in the normal environment and with the people who use the code.
Code location, contrast and lighting are part of legibility
A larger code can still be difficult to use when it is placed across a carton seam, too close to a fold, under stretch wrap, on a curved pack, or in a low-light area. Position the code on a reasonably flat, visible area where it will not be hidden by normal handling, labels or closures.
Make the intended reading surface part of the artwork review. Check the finished pack rather than only a screen preview. If the background, coating or packaging material changes, repeat the sample check because the appearance of the mark can change too.
Human-readable text and machine-readable symbols need separate checks
A printed batch number, barcode, QR code or Data Matrix symbol may appear together, but they do not serve exactly the same purpose. Increasing the size of the human-readable text does not by itself prove that a machine-readable symbol can be scanned successfully.
Where a barcode or 2D symbol is used, test it with the scanner and process that will actually be used. Confirm the encoded data, the printed placement and the normal handling condition. A practical sample-test method before approval
- Define the job. State who will read or scan the code, what information they need and the normal viewing distance.
- Prepare options. Create two or three layouts with different text size, line arrangement or print position.
- Print on the real substrate. Use the actual carton, pouch, label or product surface where possible.
- Check the normal environment. View samples at the packing line, warehouse location or loading point under ordinary lighting.
- Test the handling path. Check after normal stacking, wrapping or movement if those steps may affect visibility.
- Test scanning separately. If a machine-readable symbol is included, test it with the intended equipment.
- Record the decision. Keep the approved artwork, print position, sample date and responsible reviewer with the job information.

Why outer cartons may need a different approach
The primary pack and outer carton may carry similar batch information, yet their readers and viewing distances can be different. A code read at arm’s length on a small pack can be different from a carton identifier used during storage or dispatch. Consider whether the outer carton needs a separate, more visible layout rather than simply copying the primary-pack mark.
Review the code again when carton dimensions, print panel, pallet pattern, warehouse layout or receiving process changes. A layout that worked for one product format is not automatically suitable for another.
